Processing Employee Departures

Off-boarding is the process of an employee leaving MakeWay. In order to assist with this process, there is an Off-boarding Checklist for Managers to ensure Project Directors fulfill all necessary steps prior to an employee departure.

Step 1: Have employee submit letter of resignation

It is critical an employee  submit a letter or email to their manager and MakeWay People Engagement and Learning confirming their resignation and identifying a day in the future which will be their last day of work.

Step 2: Complete the Offboarding Checklist

If an employee decides to leave the Project, go through the Off-boarding Checklist with them. Projects should use this document to establish a plan to prepare for the employee's departure. 

Step 2: Review vacation liability

Project Directors must ensure that the employee's vacation information is up to date in Dayforce. Any vacation time owing to the employee will be paid out on their last paycheque.

Projects are liable for any overpayment of vacation time to departing employees.

Step 3: Ensure appropriate coverage

Project Directors (or the Steering Committee in the case of a Project Director departure) must ensure there is a plan in place to move forward with the departing employee's work. Human Resources can provide a departure checklist to assist with this task.

Step 4: Conduct an exit interview

It is good practice to meet with a departing employee and give them the opportunity to provide feedback about their work experience with the Project. Ask simple, direct questions about the quality of supervision and direction, satisfaction with work conditions, their primary reason for leaving, and suggestions to make the Project a better place to work.
