Using Credit Cards

Project employees may be eligible for a MakeWay credit card. This allows employees to charge expenses directly to MakeWay, rather than paying out of pocket and getting reimbursed. To apply for a MakeWay credit card: 

Step 1: Set the credit card limit

Contact the Support Team to discuss the credit card limit. MakeWay is a fiscally conservative organization, so the credit card limit will be determined by the Project's cash balance, confirmed funding, and any restricted revenue.

Fiscally conservative means that Projects cannot spend or commit more money than they have or spend money that is restricted for other purposes. This is MakeWay’s approach to spending. Projects must work cooperatively within this policy to manage their finances.

Step 2: Submit the request form

Submit the New Purchasing Card Request Form to the Project's Finance Specialist. An approver, either the Project Director or a Steering Committee member, must confirm there is a need for the card. Once the form is submitted, MakeWay will request that a credit card be issued. This typically takes 2 to 3 weeks.

Step 3: Manage credit card usage

Projects can use their credit cards for any office expenses, just like they’d use any other credit card. Expenses are automatically uploaded into Concur. There is typically a 2 to 3 business day delay.

MakeWay recommends that Projects review their credit card expenses in Concur on a weekly basis. If the expenses are incorrect, contact the Support Team.
